Why systems collapse in week three

Almost everyone has set up a productivity system. Almost nobody is still using the one they set up last year. The failure is predictable and it is not a lack of discipline.

Elaborate systems need maintenance, and maintenance is the first thing to go on a bad week. A setup with projects, tags, contexts, priorities and weekly categories works beautifully in week one. In week three, when you are behind and tired, it becomes another thing you are failing at, and people abandon a system that makes them feel worse.

The test of a system is not how well it works on a good day. It is whether it survives a terrible one. A system you can keep when everything is going wrong is worth more than an elegant one you keep when things are calm.

Complexity is usually avoidance. Reorganising your task list feels productive and is not work. Building the system becomes a way of not doing the thing the system was for, and it is comfortable precisely because it feels responsible.

The tool is nearly irrelevant. Paper, a notes app, a spreadsheet, people succeed with all of them and fail with all of them. Switching tools is the most common form of the avoidance above, and it resets your habit to zero each time.

What actually matters is trust. If you believe everything you have agreed to do is captured somewhere, your mind stops holding it. If you do not believe that, you carry it all day whatever app you opened.

So the aim is the smallest thing you will genuinely keep: not the best thing on paper.
