Introduce AI to a clinic's front desk without touching patient data

The situation

Dr Imran runs a family clinic in Hyderabad with two doctors, a receptionist and a nurse. Reception spends hours answering the same phone questions and writing appointment messages by hand, in Urdu and English. A staff member has already pasted a patient's report into a chatbot to 'explain it', and Dr Imran wants rules before anything else happens.

Write the rules first, then use AI only on the administrative work, and build in the safety lines a clinic cannot cross.

What you'll be able to show

  • Write a one-page clinic rule on what may and may not go into an AI tool
  • Use AI for administrative messages and reception answers only
  • Build an emergency instruction into every automated patient message
  • Show staff a confident wrong answer so they understand the failure mode

What you need

  • Any general AI assistant, used only with invented, non-identifying examples
  • A word processor for the rule sheet and message templates

Tasks

  1. 1Rules before tools

Write the clinic's one-page AI rule: what may be used, what may never go in (names with conditions, reports, prescriptions, photos, phone numbers tied to appointments), who approves new uses, and who to ask. Use no real patient data anywhere in this lab.
A correct result: A one-page rule a receptionist could follow, with a never list of at least five items.
  2. 2Message templates

With AI drafting, write templates in Urdu and English for appointment confirmation, reminder, reschedule and cancellation. Use placeholders such as [NAME] and [TIME], never real details.
A correct result: Eight templates (four in each language) with placeholders and no real data.
  3. 3The emergency line

Write the emergency instruction that must appear first in every automated patient message (chest pain, breathing difficulty, heavy bleeding: call 1122 or go to the nearest emergency). Add it to all eight templates.
A correct result: The instruction written once and shown at the top of every template.
  4. 4Reception answers

List the ten questions reception answers most (timings, fees, reports collection, parking). Draft approved answers in Urdu and English, then have Dr Imran's role (you) check each for accuracy.
A correct result: Ten approved answers in both languages, each marked checked.
  5. 5Show the failure

Ask the AI a confident medical question you can check (a dosage or a drug interaction from a reliable source). Record whether it was wrong, hedged or right, and write two lines for staff on why it must not be used for clinical decisions.
A correct result: The question, the answer, the reliable source, and the two-line staff note.
  6. 6The adoption note

Write half a page for the clinic: the one task to start with, how you will measure the time saved in the first month, and the date the rule will be reviewed.
A correct result: A start task, a measure, and a review date.

What to hand in

The one-page rule, eight templates with the emergency line, ten reception answers, the failure demonstration and the adoption note.
